Who can help me set up Fin for Freshdesk?

Knowledge sync, Freshdesk automation rules, Freshchat, Workflows, testing and phased go-live, delivered by a certified Fin partner.

We're your award winning Fin experts.

The SaaSy People are Intercom's Solution Partner of the Year for our Fin delivery. We set up Fin on Freshdesk from the first scoping call through to go-live. That means connecting Freshdesk and Freshchat, syncing your knowledge base, fitting Fin's automation rules around yours, designing how Fin hands off to your team, and testing it against real tickets before you switch it on.

This page walks you through how the integration actually works, the Freshdesk decisions that matter, what to test, and what a sensible timeline looks like.

How Fin for Freshdesk actually works

Fin works inside your existing Freshdesk setup, so your agents stay in Freshdesk and Fin handles the front line. There are five core steps to a working setup:

Connect Freshdesk. Fin connects using your helpdesk URL and a Freshdesk API key, then creates the webhook automation rules it needs and syncs your brands and business hours.

Train Fin on your content. Fin syncs your Freshdesk knowledge base articles, and you can add other sources and guidance on tone and escalation. The quality of that content sets the ceiling on your resolution rate.

Test safely. Fin can be limited to test tickets, for example ones with "FIN TEST" in the subject, so you can check every answer and hand-off before real customers see it.

Activate. Fin's Freshdesk automation rules only switch on when you activate them, so nothing changes in your live helpdesk until you're ready.

Analyse and improve. Fin's performance reporting shows where answers fall short, so you can improve the content and run the loop again.

The channels Fin covers on Freshdesk

Fin works across three routes, and you can connect one or all of them:

Freshdesk tickets. When a customer emails or submits a web form, the ticket is assigned to Fin by an automation rule, Fin replies, and the reply syncs back to the ticket.

Freshchat. Fin answers live chat through Freshchat and, when it hands over, assigns the conversation to the agent group you choose, with the full transcript visible to your team. Freshchat connects separately, with its own API key and RSA public key.

Fin Messenger. Fin handles the chat first and only passes it to Freshchat if it needs to escalate. It can also hand off by creating a Freshdesk ticket with the full transcript attached.

The Freshdesk decisions that make or break the setup

This is the part the generic guides skip. Fin doesn't slot into a mature Freshdesk instance on its own. Your automations and roles decide whether it works.

Fin's agent. Fin works tickets as a dedicated Freshdesk agent, and that agent must have a support role. Giving it an admin role causes the connection to fail.

The Assign Fin rule. The rule that hands tickets to Fin has to sit at the top of your automation list, set to execute all matching rules. If it doesn't, your existing rules quietly route tickets around Fin.

Hand-back to your team. When Fin escalates, it reopens the ticket and clears itself as assignee, so it lands back in your human queue. If an agent replies while Fin is still working a ticket, Fin releases it straight away. Fin also tags tickets it's involved in and resolved, which your reporting and routing can build on.

Knowledge hygiene. Renaming an article in Freshdesk can create a duplicate in Fin on the next sync, so content changes need a simple process to keep Fin's knowledge clean.

One connection per workspace. Fin connects to one Freshdesk account per workspace, so businesses with several Freshdesk accounts need to plan the structure before they build.

Building the logic with Workflows

Fin's behaviour is built in Workflows, Intercom's no-code drag-and-drop builder. This is where the operating model comes to life.

With Workflows you can:
- Set how Fin greets each customer
- Route questions by topic, sentiment and other signals
- Triage new cases
- Collect details like name and email before handing off
- Use Custom Answers for specific, high-stakes questions where you want an exact response
- Summarise the conversation with AI before it reaches an agent
- Hand over to the right team

We usually design escalation as three layers. First, Fin resolves the simple, repeatable queries from your approved knowledge base. Second, it gathers missing detail and routes anything account-specific or sensitive to the right Freshdesk group. Third, it hands complex tickets, complaints or billing disputes to named teams with a clean summary attached. Writing these rules before launch, not after, is what keeps agents from receiving tickets with no context.

How we deliver it

We run Fin for Freshdesk projects in phases, because the right pace depends on how complex your Freshdesk instance is and how many support paths you need to map.

Discovery. Confirm goals, support flows, channels and Freshdesk dependencies.

Automation review. Audit your existing Freshdesk automations, groups and roles so Fin's rules fit around them.

Configuration. Connect Freshdesk and Freshchat, sync your knowledge base and set Fin's tone, guidance and escalation rules.

Hand-off design. Define routing, Freshdesk groups and ownership in Workflows.

Test scenarios. Run your most common queries and edge cases through Fin and check every answer and hand-off.

Agent training. Show your team how Fin hands off, what the tags mean and what context they'll receive.

Go-live and hypercare. Activate channel by channel with close monitoring, then refine content, routing and automations based on real tickets.

A focused rollout on Freshdesk tickets can move in weeks rather than months. Adding Freshchat, several brands or complex automations needs more time for review, testing and training, and we'll be straight with you about which one you're in.

FAQs

Who can help me set up Fin for Freshdesk?

A certified Fin partner. The SaaSy People set up Fin for Freshdesk end to end: connecting Freshdesk and Freshchat, syncing your knowledge base, configuring the automation rules Fin relies on, designing hand-off in Workflows, testing against real tickets and going live in phases. We're Intercom's Solution Partner of the Year for our Fin delivery, with consultants in the UK and the US.

Do I need a partner to set up Fin for Freshdesk?

Not always. The connection itself is quick and a Freshdesk admin can complete it. A partner earns their keep in the decisions around it: how Fin's automation rules fit with your existing ones, how tickets route after hand-off, what Fin should and shouldn't answer, and how you test before go-live. Those decisions decide your resolution rate.

What do I need in Freshdesk to use Fin?

You need Freshdesk admin access, a Freshdesk API key and a dedicated agent for Fin with a support role, not an admin role. Freshchat is optional, for live chat, and connects separately with its own API key and RSA public key.

Does Fin work with Freshchat?

Yes. Fin can answer live chat through Freshchat, or through Fin Messenger with escalation to Freshchat. When Fin hands over, the conversation goes to the agent group you choose, with the full transcript visible to your team.

How much does it cost to set up Fin for Freshdesk?

Our Fin expert services start from £995 per day in the UK and $1,295 per day in the US, with ongoing optimisation from £49 / $79 per hour. Fixed-price options are available. Fin usage is priced separately by Intercom.

How long does a Fin for Freshdesk project take?

A focused rollout on Freshdesk tickets can go live in a few weeks. Adding Freshchat, multiple brands or complex automations needs more time for review, testing and agent training, and we'll tell you up front which one you're in.
